How much does managed IT cost, and are there hidden fees?
Most providers charge a fixed monthly fee per user or per device. The number that matters, though, is what isn’t included. Before you compare quotes, ask each provider to list in writing what’s billed extra: after-hours work, on-site visits, new computer setups, projects, and software licenses. A lower monthly price with a long list of extras often costs more by year end. Our proposals spell out what’s covered and what isn’t, so you can compare apples to apples.
What’s actually included, and what will I pay extra for?
A solid plan should cover help desk support for your staff, 24/7 monitoring, security updates, antivirus and threat detection, backup monitoring, and Microsoft 365 management. Larger one-time projects, such as office moves, server replacements, or migrations, are usually quoted separately, and hardware and software licenses are purchased separately. If a provider can’t clearly explain where the line is, expect surprise invoices.
If something breaks, how fast will someone actually help me, including after hours?
That depends on the level of coverage your business needs, and we put it in writing. Every agreement spells out guaranteed response times by priority and whether after-hours and weekend support is included, so there’s no guessing when something goes wrong. A business that runs evenings or weekends needs different coverage than a 9-to-5 office, and you shouldn’t pay for coverage you don’t use. Because we monitor systems around the clock, many problems, like a failing drive or a stopped backup, get fixed before anyone in your office notices.
Is my business too small for managed IT?
Probably not. Small businesses are often the ones with the least protection and no one whose job is to handle IT, so a problem lands on the owner or whoever is “good with computers.” We work with businesses from 2 to 50 employees. If you’re spending your own time fixing tech issues, worrying about backups, or unsure whether your email is secure, you’re the right size.
I’m unhappy with my current IT provider. How hard is it to switch?
Easier than most people fear. Start by checking your current contract for the term end date and the required notice period. Once you’ve given notice, the new provider coordinates the handoff: collecting passwords and documentation, replacing monitoring tools, and securing admin access so the old provider no longer has a way in. Your staff should barely notice. Onboarding timelines depend on the size and condition of your environment, so we lay out the plan and timeline before you sign. We also handle the communication with your outgoing provider so you don’t have to.
Why do you require a 1 to 3 year contract? What if it isn’t working?
Our agreements run from 1 to 3 years. The term covers the up-front work we do at the start, which includes documenting your systems, fixing security gaps, and deploying our tools, and it lets us keep your monthly price stable. Exit terms are part of each agreement and are spelled out before you sign, so you know exactly how to leave if you ever need to. Whoever you hire, read the cancellation and renewal clauses carefully and ask what happens if service falls short.
Who owns my data, passwords, and accounts if I leave?
You do. Your Microsoft 365 tenant, domain, data, and passwords belong to your business, not your IT provider. We document your environment as we work, and if you ever leave, that documentation and admin access go back to you. Before signing with anyone, ask in writing: “If we part ways, what do we get back, and how quickly?”
